The Knowledge Share is an area in the Users LaunchPad that returns one item at Random from articles added in the Knowledge Share System App.
As soon as you have added your first article to the Knowledge Share App, it will make the Knowledge Share visible to Users in their LaunchPad. If the Knowledge Share App contains no articles then it will be hidden again.
Accessing System Apps
To access the System Apps, click on the COG menu in the top right of the Screen and Select System
This will open the System Apps in a new browser tab.
From here open up the LaunchPad by clicking on the App Grid icon in the top left of the screen and you will see the Knowledge Share app.
Note: Access to the Knowledge Share App is permission based. If you cannot see the App, contact your system administrator to request access.
Adding Knowledge Share Articles
Select the Knowledge Share App from the System Apps LaunchPad and this will show you the current list of Knowledge Share articles on the site.
To Add a new article click on the '+' icon beside in the left pane menu
This will take you to the Record Add/Edit screen where you can add your Knowledge Share. There are three items to set for each Knowledge Share.
Title: A short heading for the Knowledge Share.
Icon: This is an image that gives the User a visual representation of the Knowledge Share. The User can expand the image by clicking on it from the Knowledge Share to be Full Size so it can contain detailed information in the Graphic.
Description: This is where you enter the content of the Knowledge Share.
Having set these properties, click on the tick in the top right of the screen to Add/Update the article.
These will be displayed in the LaunchPad in this layout. The first picture on the left is the Knowledge Share Article, the second is the view when the User hovers over the article and the third is the view when the User clicks on the article.
Note: You must first save the new article before you can add the image

Removing a Knowledge Share Article
You can remove a Knowledge Share article from the edit screen of that article. Click on the record feature menu and select archive. Once the record is archived you can then delete the article from the updated feature menu List.
This can also be done in bulk from the List Report view. Choose the Records that you would like to remove from the Report and then click on the App feature menu and select Archive. Once the articles are archived you can view then by selecting 'Show Archived from the App Feature Menu.
Again select the Records that you would like to delete and from the archived records area you will now have the option to 'Unarchive' or 'Delete' the Records.
Note: To return to the live list of records you will need to use to select 'Hide Archived' App Feature Menu to return to the live Record view.
Note: At each stage of the Archive and Delete process the system will prompt you to confirm your selection of records.
Change the Section heading of Knowledge Share and order in the Launchpad
By default, we have called this feature a Knowledge Share. You can override this title in the Settings area. First click in the COGs icon in the top right of the screen and select Settings.
Next click on the the Site Setting folder and it will give you the Global Site options.
Open the template called launchpad and it will give you the configuration options for the LaunchPad. By using the 'Knowledge Share App Title Override' it will set the name to what your Users can recognise the information by. This could be a Top Tips section or a Recent Activity area.
You can also change the order that the LaunchPad areas appear in. They will appear by display order top to bottom with the lowest value first.
Once you have made these choices, click on the tick in the top right of the screen to confirm your changes.
