The Assets and Image List Assets Apps store resources that can be used in multiple places across a site (globally). These can be images, videos, presentations and other file resources. Common examples of these are images that can then be referenced as the App Icon, Homepage Image, Login Image and Template Icons. Image List Assets are stored in a separate App to other Assets and are only used for generating the Selection Options in a Image List.
View a List of Site Assets
To view all Assets on a site, you first need to be in your Site Settings Area select where you will then be able to open the 'Assets' App.
In order to access this area, when on your site simply click on the Launchpad, followed by then clicking on the Cog. After doing this you, depending on your User Permissions you will be presented with what is displayed below:
As can be seen from the above, if you wish to specifically manage Image List Assets, there is also a dedicated App for this in the Settings Area.
Upload a new Asset
To upload a new Asset so that it is available for selection, you can either use the drag and drop option or choose a file.
Drag & Drop: Find the file that you would like to upload from your device. Then drag the image into the drag and drop box at the top of the Assets screen. This will accept the file and start uploading the document showing you a progress bar. Once complete the file will appear in the List and be available for selection in App Studio
Choose File: Clicking on Choose File will open your devices File explorer. From here you can then search for the Asset that you would like to upload and this will then begin the upload of the Asset. Once complete the Asset will appear in the List and be available for selection in App Studio.
Note: There is validation on the file name for an Asset, it can contain letters, numbers, underscores and ampersand but will not accept the file if it contains other special characters. i.e. &
Remove an Asset
If an Asset is no longer needed then it can be removed by checking the box next to its name and clicking on the ellipses '...' in the top right where a Delete option is available.
Make sure when removing an Asset, that it isn't referenced anywhere across the Site first. If you try to delete a file that is being referenced in App Configuration then you will receive a validation error preventing you from deleting the Asset until the dependency has been removed.
Tip: You can multi-select Assets if you wish to delete numerous in one go.
Image List Assets
Image List Assets are stored in a similar way to Assets but are contained in their own App for ease of managing the different types of Assets. These Assets will appear for selection when defining the Selection options for an Image List Field. This Field cycles through different images which each represent a different value for the Field. To access the Image List Assets follow the method as detailed above, but instead select the 'Image List Assets' App in your Site Settings Area.
Note: In most areas Assets can be loaded at the point of needing them – this folder is the place to go to review existing assets. Be careful not to delete Assets which may be used elsewhere.
