App developers can create templated Word Reports that when run will populate a Word document with data. This can be achieved at different levels to obtain Record level information, Report level information and also information for multiple Reports across the Site.
Wherever the word export can be used, the user has the option of selecting the result of that output to be in PDF instead. The Softools platform has a Word to PDF convertor built in, so that the word document is created and then converted to pdf and sent back to the user.
The following help relates to the specification of Microsoft Word based reports, but PDF's are just an extension of the Microsoft Word export capability.
Record level Word Exports
A Record level Word export can contain the values from Fields in that record. This way you can export a paper copy of the data to distribute internally or to a client when required.
To export the Word Report, first access the Record that you would like too get the data from and then select Export from the Record feature menu. This will open an Export pane where you choose 'Templated Report' as the Share As option and then select from the List of Word Templates available.
Having selected the appropriate report, click on the tick icon at the top right of the pane to confirm your selection and begin the export. The export run as a background task and will appear in the notification area with a link to download once complete. It will also appear as a notification on screen if you have enabled desktop notifications.
This is an example of a KPI that has been exported to a Word Report. It contains values from the key Fields to classify the KPI and also an In-App Chart with data from a grid tracking Monthly values for the KPI. It could also include Reports from Child Application such as a List of associated RAID items or summary of number of Actions by Owner.
Report level Word Exports
A Report level Word export can contain a series of charts and list Reports that give an overview of what is happening at App Level. This way you can export a version of the data that could then be distribute internally or to a client as an attachment when required.
The Records that make up the content of the Export will respect the context that the Export was actioned. If you are in a List Report then you can select the records to be included one by one or by selecting all records with the correct filter applied. If you are exporting the data from a chart then it will respect the current filter that you have applied. Once selected, click on Export from the Report feature menu. This will open an Export pane where you choose 'Templated Report' as the Share As option and then select from the List of Word Templates available.

Our example here shows multiple Charts from a Work Plan app exported to give a summary view across all Work Plans. It then also exports a list of the WorkPlans with the key info for each one.
