Embedded Templates are a way over presenting information to your Users via a pop up window that overlays the current screen. There are a number of use cases including the following three :
Use Cases
- Use Case 1: Embedded Templates in a Table Report
- Use Case 2: Embedded Templates in a Kanban Card Report
- Use Case 3: Embedded Templates in a Record
Configuration
- Create the embedded Template
- Add an Embedded Template to a Table Report
- Create an Action Button Field
- Add Image Action Button to Report/Template
Use Cases
Use Case 1: Embedded Templates in a Table Report
From a List Report, pop-up Fields that allow the User to edit key information for a Record without them needing to navigate away and back to the Report. This is an enhancement to the user experience form in-line edit and also allow Fields that would not usually fit in the report such as Long Text Fields to be viewed and/or edited.
Use Case 2: Embedded Templates in a Kanban Card Report
Embedded Templates can also be used in other types of Report such as Kanban. Here we can see how the embedded template allows us to move the estimated delivery of Actions in a weekly planner.
Use Case 3: Embedded Templates in a Record
Embedded templates within a Record can be used in a variety of ways. One is to make the User pause and think before completing a key step in the process. The follow is a screenshot from an Audit App. Suppose that you have built in workflow to set the Audit to ReadOnly once the User has completed the Audit. In order to prevent the User accidently submitting their scores prematurely, you can add an embedded template to give an extra click for score submission.
Configuration
Create a Template
The first step in adding an embedded template is to create the template that will pop up when an element on the screen is clicked to present the embedded template. The card will present as in the image below.
For a full guide on creating a template see the article here on creating a template. The key components for an embedded template are:
- Set the template type to be a Form Template
- Be careful not to have too many columns as the width of the popup may be narrower than when viewed in a Record.
Create an Action Button Field
For the full article on creating an Action Button, see here on creating an action button.
The key is that the Action Type is set to be Open Popup Template or Open Create Popup Template. The later will create a new Record Then choose an appropriate image that the User will click to evoke the template to appear.
Optional parameters are:
-
Popup Hide Open Record?
Disable open record can be enabled to prevent the User from navigating away from the Report/Record. This is useful to keep the User in the context of the task that they are performing. Note that if using the Action Button as the On Click Action in a Table Report then disabling open record will mean there is no option for the User to get to the Record from the Table Report.
-
Popup Hide Navigation?
Navigation allows a User to click through to the next or previous record from the one that the embedded template refers to. If it is not appropriate for the User to be able to do this then disable the option.
Add an Embedded Template to a Table Report
There are two ways that an embedded template can be added to a Table Report.
The first is to make it the primary action for the Table Report Action. To do this use the feature in the Table Report configuration for 'On Click Action Button'. (Or use the 'On Create Action Button' to use a pop up on the floating Record add icon.
Now when the User clicks the line item action button, it will pop open the Embedded Template instead of opening the Record.
The second way to add an embedded template to a list report is to add it as a column Field within the List Report. This means that the primary action will remain as opening the Record but you can still see the embedded template by clicking on the Action Button Field.
Add the Action Button to the relevant Template
In the second and third use cases the embedded template is opened via a pop-up from within either a Card or Form Template. To configure this option simply drop the Action Button into the relevant Template. For help on editing template Fields see here.
