Overview
The Export Summaries feature provides a comprehensive audit trail of all App Record, User Management, and Word/PDF exports performed on a site.
It records key details such as:
The user who performed the export
The date and time the export occurred
Any errors encountered during the process
Additionally, the system stores a versioned copy of each export. This allows administrators or users (depending on permissions) to retrieve the original export file for future reference or validation.
Accessing Export Summaries
To access the Export Summaries application:
From your site, open the Launchpad.
Click the Cog (⚙️) icon to view the Site Settings Apps.
Select the Import Summaries app from the list of available site settings applications.
Note: The visibility of the Export Summaries app depends on your user permissions. If you cannot see this app, contact your Site Administrator to request the necessary user permission.
Viewing Export Progress & History
Opening the 'Export Summaries' App will display a history of user run exports. For each Export, the following information is shown
- Type: Whether the Export is from a workspace App or from the System such as an export of users
- App: The Application that the export was run from
- Status: The current state of the export (Running, Completed or Failed)
- Error: If the export fails it will record the reason it failed
- Started / Finished: The timestamps indicating when the export began and ended
- Requested By: The user who initiated the export
- Downloaded: The number of times that the exported file has been downloaded
- Download: Provides a link to download the original export file
The Export summaries can be filtered to show exports for specific Apps, by specific Users, to imports with errors or within date ranges as seen here:
Using Export Error to Identify Export Issues
If an export has failed then against the row in the Export Summaries it will set the Status of the Export to Failed and also log the error that prevented the export from completing.
To view the full error click on the row in the Export Summaries and it will open up the Summary Detail for the export.
You can track a Files download history from the 'Download History' Template as seen above, this will show the User who performed the download, when it occurred and from which IP Address.
Download another Copy of the Exported File
The File that was generated by the Export will be stored against the Export row in the Summaries so that you can see the original file again at a later date. To get the export file, click on the download icon at the right of the export row.
Note: Export Summaries are permission based. You may be able to see your own or all exports depending on the access that you have been given. If you require greater access to exports then contact your system administrator.
