Forms act as the fundamental structure in Templates, often mirroring the various stages or phases integral to a process. Every Form houses one or multiple Templates, shaping the user experience and flow. These have the power to be shown conditional by themselves or manipulate the visibility of the template within the form.
Form Configuration
-
Title: Designates the name of the Form, which is displayed in the Record menu on the left panel.
-
Identifier: This unique identifier for the Form is initially auto-generated but can be modified as needed. It's usually aligned with the Title but shouldn’t have spaces.
-
Hide Form When Adding New Records: Enabling this ensures the Form remains hidden during the creation of new Records. This is beneficial when, for instance, you have a review form for a project that is redundant during record creation since there's no content to review.
-
Hide Form When Updating Records: Activate this to hide the Form while updating records post-creation. Useful when, say, an audit is introduced and the form is only necessary during record creation, but should be invisible thereafter.
-
Show Form as Readonly: Engaging this renders all form fields as non-editable. This is often utilized for forms where feedback and scoring are set by approvers, which suppliers can view but not modify.
-
Show App Title on Form, Show App Description on Form, Show App Icon on Form: Toggle these settings to showcase the App Title, Description, and Icon (all set during app configuration) at the Form's pinnacle. For an enhanced user experience, it's generally recommended to activate all three.
Note: It is normally advisable to include all three as these three things can help to improve the User's experience.
Adding Templates
Venture into the 'Templates' segment within Forms to add Templates via the designated button below. Here, you can choose from any previously created Templates within the App that haven't already been added.
Hide Header: This function allows you to hide the template header to remove the seperator, this can be useful for making two templates look like one but allow you to show and hide the halves respectively.
Form Layout
After Template selection, feel free to rearrange their order. Simply click and hold on the highlighted icon, then drag to the desired position. Release to set the order. For instance, if you're positioning the 'Mitigation Plan' Template at the top the sequence would appear as: 'Mitigation Plan', 'Reference'...
Pro Tip: New additions nestle at the list's bottom. To streamline the process, consider adding Templates in your preferred sequence from the get-go, minimizing the need for repositioning.
Form Rules
Form rules empower you to set specific filters, determining the circumstances under which a Form is concealed and the teams for whom it remains invisible.
By understanding and leveraging these features, you can optimize the functionality and user-friendliness of your Forms within Templates, creating a seamless and intuitive experience for all users.
Make sure to click the 'Save' button when making any changes in order for them to be added to the next app version. Once you have made all the changes you need to an application you are then ready to publish it to workspace.
