Exporting data is a critical function in many applications. Understanding how to access your exported files promptly can enhance your productivity. It allows you to view your data in CSV, Word or PDF formats.
This guide will walk you through the process.
Two Methods to Access Your Exported Files
- Notification: This is the most common method for instant access to an Export
- Export Summaries: A Storage Bay of previously executed Exports
Download Export Through Notifications
An Export may be required for a number of reasons. It could be to obtain a CSV version of financials that you can edit and reimport into the platform or it could be a Meeting Summary notes that you would like a Word/PDF version of to distribute to the attendees.
Step 1: After initiating an export, a notification will be sent to confirm the process's completion.
Step 2: Click the Notification Bell icon in the top right corner of your application interface. If the export is ready, you'll see an entry marked with a green icon indicating its availability. Click the downward arrow next to the export job to download your file.
Accessing Older Exports Using Export Summaries
For a comprehensive overview of all export activities, utilize the 'Export Summaries' feature. Let's suppose that you have exports PDFs that you send to a Client on a monthly basis for their Project Pack used in Management Reviews. When it comes to the next review you may want to view a copy of last month's report. This is a prime example of where you can retrieve an older Export via the Export Summaries.
Step 1: Navigate to Launch Pad and then to your Site Settings Area (The Cog)
Step 2: Select the 'Export Summaries' application.
Step 3: Here you can view a list of all exports, their statuses and any errors encountered. If you wish to obtain a fresh copy of the download the click on the download icon at the end of the Export line item.
